Privacy Policy for Job Applicants
This Privacy Policy is based on the provisions of the Swiss Data Protection Act (DSG). It applies to you and your personal data as an applicant for a position at our company, regardless of whether you submit your application through an online portal or via email or mail.
Our company, which has advertised the position for which you are applying, is the data controller responsible for the data processed in accordance with this privacy policy. Our company processes personal data in order to assess your suitability for the position you are applying for. This includes, in particular, the following personal data:
- Contact information such as last name, first name, address, email address, phone number, date and place of birth, gender, marital status, citizenship, or nationality
- Information you submit with your application, such as details in your cover letter, resume, educational certificates, and other information you provide to us (e.g., education, academic and professional qualifications, previous employment, personal skills, photos)
- Information provided by third parties, such as data from official registries, references, and information from public professional networks
- Information that you have disclosed to us during the selection process or that has emerged, for example, from the job interview or assessment. If job interviews are conducted by phone or video conference, they may be recorded
- If you are currently employed by our company or have been employed by us in the past, we may use information that we have on file regarding your previous employment
If you also provide us with special categories of personal data as part of your Application, we may process this personal data (e.g., health data).

We process your personal data for the following purposes:
- Recruitment: We process personal data to assess whether you are qualified for the position you are applying for and to conduct further evaluations
- Employment Contract: If your application is successful, we will process your personal data in order to enter into and fulfill an employment contract with you. If any step in the fulfillment of the contract requires your consent, we will obtain your consent in advance. The provisions of the Privacy Policy for Employees also apply.
We may also share your personal data with third parties under the following circumstances:
- IT and other service providers (e.g., providers of services related to video interviews (such as Microsoft Teams or Zoom), data storage, cloud services, data analysis, etc.; as well as external consultants and service providers in the areas of shipping, communication, etc.)
- Group companies (if a candidate is eligible for a position at another company within the BUSSLIST Group, we may also disclose personal data to that company)
- other external sources (e.g., official registries, credit bureaus, or employment agencies)
- Parties to legal proceedings (e.g., opposing parties and other parties, experts, witnesses, etc., when we are participating in or considering participation in legal proceedings)
- Your personal data may also be shared with third parties with your separate consent
There is a possibility that your personal data may also be located abroad, for example in the EU or the EEA (European Economic Area), or in countries whose legal systems do not provide the same level of protection for your personal data as in Switzerland, the EU, or the EEA—such as the United States, China, or Japan—but in principle worldwide. If we disclose your personal data to recipients in such countries, we generally enter into a data transfer agreement to ensure adequate protection of your personal data, unless the recipient is already subject to a legally recognized framework for ensuring data protection and we cannot rely on an exception. An exception may apply, in particular, in the case of legal proceedings abroad, but also in cases of overriding public interest or if the performance of a contract requires such disclosure, if you have consented, or if the data in question has been made publicly available by you and you have not objected to its processing.
We store your personal data for as long as it is necessary for the application process and for the purposes specified in this Privacy Policy. Personal data collected during a telephone or video interview will be deleted after a certain period of time, in compliance with legal requirements. If you have given your consent, we will use your personal data to contact you regarding any future job openings, provided that we have a legitimate interest in retaining your data or as long as retention is required or permitted under applicable law. If no employment contract has been concluded with you, your personal data will be deleted or anonymized no later than 6 (six) months after the interview.
We take appropriate technical and organizational measures to protect your personal data.
Subject to the limitations provided for by applicable law, you have the following rights:
- You may request information about and access to your personal data that we process
- You may request the correction or deletion of inaccurate personal data
- You have the right to request that the personal data you have provided to us be returned to you or transferred to a person of your choice in a structured, commonly used, and machine-readable format
- You may also request at any time that we cease processing your personal data and delete it, provided that we are not required to continue processing or retaining such data and that it is not necessary for the purposes of the employment relationship.
- In addition, you may withdraw your consent if you have consented to our processing of your personal data
- You also have the right to file a complaint with a data protection authority regarding the way we have used your personal data.
You are not required to provide us with personal data. However, without personal data, we cannot accept or process your application.
This Privacy Policy may be amended at any time. The version in effect at the time you submit your application is the one that applies.
